Define the rules before enabling booking
- Calendar to use
- Working days
- Booking hours and timezone
- Meeting duration
- Buffer between meetings
- How far in advance a customer can book
- Required lead fields before booking
Recommended conversation pattern
Customer: “Can we speak Tuesday afternoon?” → AI asks or checks within the allowed window → presents an eligible option → customer confirms → booking is created → confirmation is returned.
Avoid accidental bookings
Messages such as “maybe”, “should work”, or “I will check” are not confirmations. Your prompt and workflow should require an explicit yes before creating a calendar event.
Use booking context in sales
The calendar event is more useful when the associated lead context contains what the customer wants to discuss. Capture requirement and relevant qualification data before or alongside the booking.
Fallback path
If no suitable slot is available or calendar access fails, route the conversation to a human instead of leaving the customer in a loop.
